If you are wanting to schedule a TEPAIC, you'll first need to know how to access the TEPAIC calendar on Outlook. This calendar is viewable to all IU employees on campus and is updated live when changes are made. This will allow you to view when testing times are available and to schedule exams with ease:
- Navigate to the "Calendars" tab in your Outlook application.
- In the tool bar at the top, find your way to the green "+" with "Add Calendar" written under it.
- Click "from address book".
- Type "tepaic" into the search bar.
- Double click on the list item named "TEPAIC".
- Click OK at the bottom to confirm.
With that, you should be able to view the shared TEPAIC schedule!
To test a student, you must first authorize them to get tested. You can do this by filling out the TEPAIC Authorization Form. If you have more students than slots, please submit multiple forms.
As you send this over, also make sure to tell the students you have authorized to fill out the student registration fireform. We cannot move forward with scheduling until we have received both the student registration form and the departmental authorization form.
Under the new TEPAIC system, the TEPAIC office will no longer be in contact directly with students. Instead, departments will serve as liaisons on their students behalf to communicate with the TEPAIC office. This includes all scheduling communications, as well as feedback requests and score distribution.
If a student contacts the TEPAIC office directly, they will be advised to go to their department contacts first so that you may contact the TEPAIC office on the student's behalf.
All TEPAIC students are required to provide English Proficiency exam scores (no older than 2 years to the month) that meet a minimum requirement before being eligible to take the TEPAIC. There are, however, cases where a students have expired scores or never took an exam to evaluate English proficiency. In these cases, departments can request what is called a Proficiency Waiver.
Proficiency Waivers exempt a student from needing to provide exam scores to take the TEPAIC. These waviers are only allowed to be used once per student. Should they need to take the TEPAIC again, they will need to provide English proficiency scores that meet the minimum requirements before becoming eligible.
To request a waiver, follow these steps:
- Write a letter on departmental letterhead that explains that you are requesting a waiver and on what grounds you are doing so. A brief explanation will suffice so do not worry about not putting enough in the letter.
- Have your Department Chair sign the letter.
- Make sure the file is labeled with the students full name.
- Example: (BobHopeProficiencyWaiver.pdf)
- Send the letter to the TEPAIC office at tepaic@iu.edu.
- BONUS TIP: Please make sure to only submit one letter per student. If requesting waivers for multiple students, you must submit one for each student you are requesting waivers for. Batch waiver requests will not be accepted.
